Intellectual Property Client Services Coordinator

A leading law firm is seeking an IP Client Services Coordinator for its Boston, Chicago, Los Angeles, New York, Washington D.C., or San Francisco office. This highly visible role serves as the operational hub for complex patent prosecution matters, coordinating client communications, matter intake, docketing, billing, and team workflows.

The coordinator will manage client caseloads and time-sensitive instructions, oversee docket compliance and statutory deadlines, and maintain portfolio status reports and prosecution data. Responsibilities also include monitoring client billing and budgets, resolving invoice discrepancies, coordinating client meetings and reporting, and handling foreign filing license requests and foreign associate correspondence. The role also involves training attorneys and support staff on client-specific procedures and helping preserve institutional knowledge during staffing transitions.

Candidates should have a four-year degree (or equivalent experience), a minimum of five years of U.S. patent prosecution experience with exposure to foreign prosecution, and advanced knowledge of USPTO and PCT procedures, the MPEP, and 37 C.F.R. Strong organizational, analytical, and communication skills are essential, along with proficiency in patent docketing software and Microsoft Office. This is an hourly, non-exempt position with a generous overtime plan. The anticipated base salary range is $74,000–$102,000 (Boston, LA, Chicago, DC) or $81,000–$112,000 (San Francisco, NYC).
